I get a lot of questions about Gmail. I have mentioned in the previous episode to use Gmail to import all of your different emails, so it’s kind of like a one-stop shop for all of your emails. You’re not checking Blue Host, checking Gmail, Yahoo, other email servers for five different things, especially if you are a company that deals with a lot of clients on their behalf.

I’m going to share my screen and show you a few things that I often get asked. All righty. I went into Gmail, obviously, and I just went to the settings file folder here. One thing I want to point out is all the different Gmail features that you have access to. If you go to Labs, which is kind of an odd title, I know, but they have all different sorts of features or add-ons that you can use for your Gmail.

I’m going to show you this one that I have here is the Calendar Preview. Instead of me clicking on my calendar, I can see a little preview of what I have coming up in the near future. I’ve got a meeting coming up at two and so forth. That is super handy for me.

There are some other Gmail features here. Let me just check out a few. There was one that I thought I would check out as well. Multiple inboxes. You can categorize different e-mails, different companies, whatever. Starred ones, ones that are important so you can have multiple inboxes which I think actually would be really handy. I might actually try that one out.

You can have a chat feature on the right-hand side. There was one, mark as read. Just easy buttons that would show up at the top there that you use on a regular basis, just to make it easier for you. They do update these on a regular basis so what is available now might not be available. In a month from now there may be new ones that pop up. You just basically enable them or disable them and they show up. You can actually do a search for other ones as well.

One of the other Gmail features that I want to point out is labels. If you’re not going to use multiple inboxes, what I do is I keep one for important documents so things I might need to print. For instance, I’m flying out next week to go see a client at one of his conferences. I’ve got my flights in there, all that kind of stuff. It just kind of puts it away and flags it for me.

The other one I have is resources and the other one I have is e-mails that I need to refer to in upcoming meetings with certain clients. That way it’s not hanging out of my inbox forever. I don’t always have to weed through it and read it. It’s just not junking up my inbox so to speak.

I’m going to quickly show you how to do this. Here you can go to Create a New Label. You enter the name of it and then you can also tell it if you want it to nest under a separate one, then you just create it. I’m going to go to manage labels and you can see here, there are tons of other ones that I just don’t care about so I’ve hid them. Chats, I don’t want that to show because I don’t use it. That way you can hide the ones that you don’t like or don’t want to see, just to kind of clean it up.

Then you can see, I don’t have any that go underneath. Let’s say I had important documents and then I had a sub-folder that was personal, maybe a sub-folder that was work. Then that’s how it would be nested underneath that one. You can edit them, you can remove them, you can hide them. There’s different little features that you can do. For me, when I have an e-mail in my inbox that I want to keep as a resource, same with I get e-mails from Mari Smith, from Hub Spot, Social Media Examiner. I just simply drag them into Resources and then it’s a folder that I have to refer to later on. You just drag and drop them in there for safekeeping. Then it also flags. I know I’ve got six resources sitting in there for me to play with and read later on.

That’s just a couple of quick Gmail features where you can really customize your inbox, make your life much more efficient and kind of minimize all the e-mails that you have in your inbox.
